Event equipment rental checklist for weddings and conferences

5 min read

Event equipment rentals are booked against a date that cannot move. That single fact makes late booking the most expensive mistake - and makes a clear checklist worth more here than anywhere else.

Book sound and lighting first

Speakers, mics and lights are the items most events compete for, and they are hardest to substitute at the last minute. Book these the moment your date is fixed. Projectors, screens and seating are easier to source late.

Festival and wedding weekends clear out fast, so the earlier you confirm, the more choice you have.

  • Sound: speakers, mixer, microphones, spares.
  • Lighting: stage lights, uplighters, standby power.
  • Projection: projector, screen, correct cables.

Confirm exactly what is in the price

Does the rental include setup, an operator, cables and stands, or is it a bare unit? The cost difference is large, and it is the most common source of a surprise bill. Get it in the message before you pay.

Ask whether delivery is included and for how many hours the equipment is yours - "overnight" and "a three-hour event" are different products.

Protect the deposit and the return

Agree who is responsible for damage during the event and what the deposit covers. Photograph the equipment at handover and again at return, and confirm the collection time before the last guest leaves.

Common questions

How far in advance should I book event equipment?
For sound and lighting on a peak date, as early as you can - weeks ahead if possible. Other items are usually easier to arrange closer to the day.
Does event equipment rental include setup and an operator?
Not always. It varies by listing, so confirm whether setup, cables and an operator are included before you pay - it changes the total cost significantly.
